OVERVIEW
Under the direction of the Executive Director and consistent with the mission of the YMCA, the Fundraising Specialist provides administrative support, office support, HR support, grant writing and other responsibilities as requested. This position is a key liaison between volunteers, internal staff and Association practices and procedures.
DUTIES AND RESPONSIBILITIES
Administrative Function:
1. Works closely with Executive Director to effectively communicate and coordinate interactions with Board of Managers, including monthly board meeting set-up, arrangements, agendas, documents, meeting notes, etc.
2. Maintains systems for storing and retrieving branch files, as directed by Association procedures
3. Responsible for ordering and tracking of all office supplies.
4. Handles correspondence, as requested by Executive Director.
5. Responsible for maintaining office equipment.
Human Resource Management
1. Responsible for bi-weekly payroll, including auditing timecards.
2. Ensures all branch forms are available and employee bulletin board is complete with designated displays.
3. Assists with the implementation of Association HR practices at the branch level, i.e.: new trainings, etc.
Fundraising/Special Events
1. Lead or assist in planning special events that are fundraisers
2. Oversee annual campaign by working with Executive Director to ensure donor and volunteers are fully supported, pledges and gifts are well documented, and information is compiled for successful future fundraising.
3. Assist Executive Director with grants as assigned, as well as all follow up reporting.
4. Maintain organized grant filing system
5. Handles all collection and billing for fundraising
6. Handles all campaign correspondence
Accounting
1. Responsible for all accounts payable and invoicing.
2. Provide staff with accounting reports, as requested
3. Ensure daily deposits are balanced and deposited at the bank
4. Assist with development of department budget
REQUIREMENTS:
Strong Computer Skills in WORD, PowerPoint, EXCEL,
Ability to multi-task in a busy office
Work well with others, in a mission oriented environment
Attention to detail
Excellent verbal and written communication skills
